The role of the administrator can never be fully defined. The role will be ensuring that all clients under their control are managed effectively and all required reports and

requests are completed on time and develop new and innovative business processes for

the smooth running of the business units under your control.

JOB DESCRIPTION

The Key Account Administrator’s key responsibilities will be to provide proficient secretarial and administrative support to the Head of Key Accounts and the Key Account managers.

To take full responsibility for the management of Commercial Clients, including Managing Agents and Retail Accounts in ensuring we exceed the client’s expectations, through the monitoring of our client's IT portals, to ensure that these are fully up to date with regards to PPM scheduling, and respond to any reactive tasks using the clients

CAFM system. Inputting and managing our internal monitoring and performance IT system and quoting systems. Candidates must be proficient in the use of Excel/google sheets and be able to produce analytical reports from our the “Glendale live” system

The main Duties of the Key Account Administrator include:

  • Oversee all reporting and ensure accuracy and deadlines are met
  • To maintain and support the helpdesk, respond to the clients within the prescribed KPIs
  • To support the sales pipeline via the key accounts manager and sales team 
  • Ensure all quotes are dealt with promptly
  • Support in Monitoring the inhouse works programme, “Glendale live”, to ensure that all scheduled works are completed, and any remaining outstanding then communicated directly with the contracts manager to understand issues why and update the client’s portal with the solution and return date – both contracts Glendale contract manager and sub-contractors.
  • To produce and maintain through regular reviews, a Service Level Agreement for each site within specific Client’s remit.
  • Ensure that all potential opportunities for clients are identified, reported and updated on SIP, quoting VO works to include minor civil works and landscaping works.
  • Through the monitoring of “Glendale live” and direct feedback from the operational teams, ensure that all urgent VO works are reported directly to the client with proposed costs to rectify - i.e., fly-tipping, potholes, graffiti.
  • Identify new sales opportunities and ensure continuous growth of our clients to include, new site contracts, Hard and soft landscaping improvements, Winter gritting services, internal and external planting and the cross-selling of other Glendale business
  • Along with the Key Account management team, use experience to support with new bids development, providing written information relating to mobilisation activities, continuous improvements, sustainability etc
  • Fully undertake all day to day tasks relating the finance and month end reporting included sales invoicing, job tracking and any other adhoc duties.
  • Work with the Finance team to follow up and reduce bad debt where and where required produce reports to present to the Clients highlighting where Purchase Orders are required and where payment has still to be received.
